MACHINES, TOOLS, EQUIPMENT, AND WORK AIDS Standard office equipment and supplies, including computer, scanner, fax server and phone equipment and willingness to learn the use of equipment and software in order to perform job duties. EDUCATION, TRAINING, AND EXPERIENCE Minimum of: 1. Graduation from accredited high school. 2. Graduation from business school/college and/or business courses helpful. 3. Knowledge of medical practice and terminology helpful. 4. Six months to one year secretarial, general clerical or other business experiences is required. 5. Working knowledge of QuickBooks or other accounting software desirable. 6. Efficiency of Microsoft Office tools, desirable. WORK TRAITS Aptitudes: 1. Verbal ability is necessary to perform duties relating to telephone, face to face customer and team member communication. 2. Numerical ability is necessary to make arithmetic calculations when compiling and balancing patient copays and coinsurance as well as use of QuickBooks. 3. Ability to multi task between customer needs and accuracy in detail work with insurance, electronic health record and QuickBooks. 4. Motor coordination to use computer, phone, calculator and manipulate paper. Interests: 1. A preference for activities concerned with contacts in person or on telephone. 2. A preference for the communication of ideas in preparing activities. Temperaments: 1. Work involves a variety of changing activities from answering telephone, speaking directly to patients, and having detail to other tasks listed in job description. 2. Specific Duties: 1. Upon arriving in the morning, prepare office for daily activities (i.e., turning on Open sign, lights, coffee maker water, start computer, check voice mail, check fax server) 2. Maintain electronic scheduler, and adhere to office scheduling policies (i.e. make, move and cancel appointments). 3. Be responsible for answering telephone and properly and efficiently screening calls, making appointments, etc. 4. Be responsible for maintaining fax server throughout the day. 5. Be responsible for all electronic filing of charts, adhering to company policy. 6. Responsible for collecting patient demographics, insurance information, loading insurance policies, completing insurance verifications, completing necessary insurance requirements for billing and authorization 7. Responsible for compliance tracking and functional outcome reporting data collection. 8. Purchasing of supplies as requested by team members and approved by manager. 9. Responsible for communicating patient pay responsibility and physical collection of copay and co-insurance monies. 10. Responsible for making weekly to twice a week bank deposits. 11. Responsible for getting the mail, sorting and taking care of mail items per company policy. 12. Responsible for the bill pay system for bills incurred by local clinic. 13. Assist with activities in the clinic such as changing linens, washing dishes, taking out the trash, vacuuming, sweeping, dusting, window cleaning, and other cleaning chores as needed and directed. 14. Responsible for next clinic day preparation of preparing schedule, noting money collection needs and other paperwork needs. 15. End of day activities such as securing all protected health information, clinic reception and waiting area in tidy order, shutting down computer, turning off open sign, etc. 16. Other duties as mutually agreed-upon, which may include the following: a. Assist with other company-wide processes. b. Scanning and faxing of documents. c. Assist the owner with tasks where possible.
